Job Description

The overriding aim of this role is to manage and continue developing the Order to Invoice process for the India market, focusing on the service team requirements.

Accountable for:

Supporting the Sales, Programmes and Finance team with invoicing and regular billing status updates
SAP knowledge expert for the India team
Liaise and collaborate with the following functions:
Regional Operations Business Partner to ensure Operations are meeting the on time delivery of factory manufactured goods and secondly to ensure the market and operations teams are sharing the right information for demand planning and other opportunities.
Global factory teams to track and manage orders and delivery
Market and service teams to ensure their customer demand and logistics are met


Process sales orders in full cycle from order entry to invoicing with accordance to company guidelines and policies
Liaise with relevant internal and external parties to manage and resolve all issues relating to order fulfillment
Provide single point customer service contact to customers, business partners and Sales Offices in Asia Pacific
Provide post-sales support such as physical return, replacement and others
Ensure timely delivery of shipment and invoice timeliness
Ensure backlog is managed efficiently with no past due status
Ensure smooth co-ordination of Letter of Credit once the terms have been finalised by the Finance team
Schedule and coordinate with freight forwarder transactions and ensure WBS Elements is quoted correctly to allow freight cost to be allocated to each order
Attend Programme Review meetings in order to be able to create invoices as required but Programme Orders will be created by the Programme team
Run monthly reporting for Order-to-Invoice analysis
Participate cross-functional initiatives when required
Ad hoc tasks as required

Legislation & Safety

To ensure all necessary documentation is in place to enable transit from origin to destination without delays and in accordance with customer need and foreign trade regulations.
Ensure the regional logistics processes comply with all regulations for the storage and transportation of Dangerous Goods and Hazardous materials.
Ensure all regional logistics processes comply with and ensure department compliance with Company health, safety and environmental policies with support from the functional teams.
Ensure all regional logistics processes comply with all applicable Global export control and security regulations.
