These responsibilities are broad areas of work expected from the job holder. It is a collection of vital and essential tasks and responsibilities that the job-holder is responsible to plan prioritize and execute.
1.Industrial relations: To take necessary steps to maintain the factory/office in working order and to comply with various provisions of the Factories Act, Industrial Disputes Act, and other State and Central legislations with regard to labor and factory administration.
2.Statutory compliances / Legal matters: Ensure implementation of statutory compliances under various labor laws and other Acts. Attending various court matters. Liaison with government departments as and when needed.
3.Recruitment and Selection: Taking care of end to end recruitment process of staff, workers and contract workforce. Identify suitable manpower consultants; ensure preliminary/final interviews along with the line managers.
4.Human Resources Information System: Monitor updation and maintenance of database of existing and new employees in HRMS.
5.HR Policies: Ensure to update existing and new policies based on the decisions taken by Senior Management Team (Compiling input, preparing drafts, taking approval of Business Unit Head (BUH) /Directors and Managing Director, sending circulars etc.) and implementing the same.
6.Performance Management: This includes:
a.Facilitating mid-term and annual performance appraisal, probation appraisal, confirmation, salary revision etc.
b.Generating necessary reports based on the employee database for the reference of BUH and line managers.
c.Ensure implementation of decisions taken by management team regarding compensation structure, individual increments, promotions etc.
7.Training and Development: Prepare the training calendar based on the performance appraisal assessment parameters and in discussion with BUH and line managers.Facilitate and ensure to make necessary administrative arrangements for training and development activities.
8.Climate Survey: Conduct surveys and ensure implementation of the actionable points derived out of internal and external climate surveys across all locations in consultation with the BUH/Head HR.
9.Participative Management: Ensure to resolve employee related issues wherever possible by conducting one-to-one feedback sessions with staff members. Also coach, provide guidance, and follow-up with the staff if needed and later submit the report to the BUH/Head HR for further course of action.
10.Employee Engagement: Ensure that employee engagement events are implemented in consultation with BUH.
11.Exit: This includes:
a.Conducting exit interview.
b.Compiling employee feedback received through exit interviews and generate reports and submit the same to BUH/Head HR.
c.Preparing Exit analysis report.
d.Ensuring the timely settlement of full & final settlements.
12.Organizing meetings: Plan, schedule, attend (if required) all review meetings such as: Business Group Review Meeting, Group Review Meeting etc. Ensure proper agenda, minutes, reports, etc., are received by the BUH's office on time. Seek clarifications from the concerned person as and when required. To cull out / highlight important points.
13. Reports: Compile minutes on action/plan agreed and committed by various participants, follow-up and ensure that commitments are met on scheduled dates. Prepare minutes of Group Review Meeting.
14. Preparation of presentations: To collate data, figures, etc., on the topic to be presented. Prepare a draft of the content for review / modification / approval. Run through the presentation with the BUH to ensure that it is smooth and fits in Company's house-style.
15.Confidentiality: To maintain confidentiality and secrecy in all reports, important documents, business plans, discussions and other relevant documents as and when required.
16.MIS: Preparing MIS and forecasting. Ensure all financial figures; reports etc., are received on time. Scrutinize major variances in financial figures. To cull out / highlight major variances if any and seek clarifications.
17.Customer Relationship Management: To handle customer complaints / grievances and other issues escalated to the BUH. To keep the BUH informed on the progress of resolution. Follow up with the concerned person / department and ensure resolution of the problem.
18.Other Responsibilities: Plan and prepare travel schedule and do reservations for flights and hotel accommodation. Ensure health insurances, foreign exchange, immunization in certain countries and related activities are completed. To prepare expense bills and other relevant bills as and when required. To execute any other task/work entrusted to you by the BUH.
19. Customer Satisfaction: Establish and maintain a high level of internal customer satisfaction. Communicate to and work with the other departments to resolve issues/concerns.
20.ISO Guideline: Ensure proper compliance of ISO 9001:2008 guidelines so that there are no quality issues.
21.House Keeping: Ensure that cleanliness is maintained in factory/office premise, proper water supply is there, and monitor the house keeping staff, depute office boys etc.
22.Renovation of factory/office infrastructure: Assist in renovation / repairs / maintenance of factory/office premises, furniture by negotiating the prices with the architecture / service provider and also do follow up with them regarding the same.
23.Annual Maintenance Contracts (AMC): Obtain price quotes from vendors for various devices and negotiate and finalize the contracts relating to maintenance of facilities in the factory/office. Ensure best deal for AMC and timely installation/maintenance of the devices.
24.Despatch: Monitor and organize day-to-day incoming and outgoing mails.
25.Corporate Social Responsibility: Spend one day in a year on a social cause.
Candidate will require to travel to Pune and other regional offices for work purpose.
