Job Description

Candidate Profile Required:

- B.E / B. Tech in Mechanical/Civil/Electrical Engineering from an institute/University recognized by UGC/AICTE

- Essential: 18~25 years of hands on experience, Ideal candidate must have at least 8~10 years experience in construction industry.

Key Responsibilities:

Projects Planning and Review

- Study inputs from the Unit Head & Group Head

- Understand key priorities for internal improvements, formulate critical initiatives to implement Project Office strategy to enhance time & quality parameters in Project Office in the approaching year

- Conceptualize special initiatives to be undertaken and prepare the first draft for the Project Office Annual business plan in consultation with internal 'Task Force' (set up for the plan document)

- Conceptualize Project Office Performance review document, envision measurable criteria/ indicators to monitor performance of project/program (e.g. balanced scorecard for each project/program)

- Periodically compare actual performance achieved against plans in order to prepare a comprehensive Project Office business / performance plan

Standard Process Development - Project Management:

- Develop process/guidelines for 'project management' process covering collation of relevant data and schedules (e.g. uploading of data, generation of reports etc.)

- Develop standard formats for collection of data and report generation as part of toolkit

- Design and set standards for document management at the site

- Conduct training of project teams periodically to ensure good understanding of the process/ toolkit

- Identify appropriate IT platform to make the system real time and effective

- Develop SLAs (Service level agreements) with all concerned entities during the design and construction stage

- Conduct regular internal audits to ensure 100% compliance

- Develop forums/guidelines to streamline communication channels between all concerned entities in order to build a robust project management system and build internal capabilities for the same, ensure accurate tracking of project progress and any delays anticipated raised to appropriate parties (Technical team, Design and QA team, VP Projects, Finance team etc.) on a timely basis

Project Monitoring - Design Stage:

- Monitor to ensure that design/ technical teams follow the laid down guidelines as per SOP

- Generate report and raise red flags

- Provide support to other project coordinators during design stage in monitoring completion as per schedule and highlight delays/ issues

- Participate in critical design planning review meetings if required in order to ensure process compliance with regard to time and quality and to meet SLAs, and support appropriate authorities

Project Monitoring - Execution Stage:

- Provide guidelines/ direction to ensure detailed analysis is conducted on the construction program submitted by contractor for time schedules, resource planning, methodology and materials submission at the site

- Provide guidance to site team to develop requisite information collection/report formats

- Support appropriate authorities for regular review of project team performance wrt timeliness and quality of data collation, data analysis, variance analysis and report generation

- Participate in critical review meetings of the project; in case of issue of escalations, provide guidance to the site project team to anticipate major slippages/delays in the near future

- Present the reports and analysis to the top management as required in order to ensure regular monitoring of project progress and timely raising of red flags in advance

New Systems & Process Establishment:

- Work on system standardization and orient internal teams on larger organizational perspective (like project performance system, quality system, customer feedback systems etc.)

- Formulate, review or update SOPs (Standard operating procedures) & PIGL (Project implementation handbook)

- Collate inputs from relevant stakeholders and redraft & update guidelines, seek approval from relevant authorities

- Generate awareness about SOPs through various mediums (intranet portal, training sessions etc.)

- Develop knowledge management systems to archive project related information, improve & enhance project documentation via digitization

- Monitor and review compliance in order to formulate, establish & institutionalize improved processes & new systems within the organization

Reporting & Audit:

- Compile monthly audit review reports from all ongoing projects

- Record observations & post-audit decisions for corrective action taken by senior management

- Prepare monthly review presentation for the Executive Committee in order to ensure management control to minimize non-compliances
